Lead Management & Automation That Turns More Leads Into Booked Jobs

Our lead management and automation makes sure home-service businesses never miss a call and never drop a lead — with a CRM, instant missed-call text-back, automated follow-up, and an optional 24-7 AI receptionist that books jobs while you work. The same system then quotes the job, invoices it and takes the payment, from your phone.

Where leads leak

The four most common gaps between a lead arriving and a job being booked.

1 Missed call, never returned Biggest
2 Form sits unread overnight Common
3 Quote sent, never chased Common
4 Past customer never contacted Missed revenue

Chapter I — the leak in your pipeline

Why home-service businesses lose jobs they already paid for

You spend on local SEO and Google Ads to make the phone ring — then a missed call, a reply that takes hours, or a quote that never gets followed up sends that customer straight to the next company. Most people won’t leave a voicemail; they’ll just call whoever answers first.

The fix usually isn’t more leads — it’s catching and converting the ones you already get. That’s what a lead system does: every call captured, every lead answered in seconds, and every follow-up handled automatically, so nothing slips through.

Chapter II — what's included

What's included in our lead management & automation

One system to capture every lead, quote the job, get paid and get the review — built and run for you.

Start with the audit →
01

Your own CRM and job pipeline

Every lead from your site, calls, ads and social in one place, with job stages that show what's quoted, what's booked and what's waiting on you.

02

Unified inbox and business number

Your own number for calls and texts, with call recording. Calls, texts, email, web chat and social messages land in one thread per customer.

03

Missed-call text-back

Every missed call gets an instant text so you keep the lead.

04

Automated follow-up

Text and email sequences that work a new lead until they book, chase a quote that sits unanswered, and win back past customers.

05

Booking, reminders and crew calendar

Online booking from your site or a text link, reminders that cut no-shows, and a calendar the whole crew can see.

06

Estimates and price book

Build the estimate from your own price list in a minute. The customer approves and signs it on their phone.

07

Invoices and text-to-pay

The estimate becomes the invoice with one tap. Take a deposit, send a text-to-pay link or charge the card on file, into your own Stripe account, synced to QuickBooks Online.

08

Optional AI receptionist

A 24-7 AI that answers calls, texts and web chats, qualifies the lead, and books the job. Add it for $147/mo.

Chapter III — first call to final payment

One system from the first call to the final payment

The missed-call text-back is where it starts. The same system then quotes the job, books it, invoices it, takes the payment and asks for the review, and it fits in your pocket.

Lead

Every lead lands in one inbox

Your own business number for calls and texts, call recording, website forms, web chat and social messages, all in one thread per customer, on your phone. A missed call gets a text back within seconds, or the optional AI receptionist answers it for you, so the conversation starts with you instead of the next company.

Quote

Estimate from your price book, signed on their phone

Build the estimate from your own price list in a minute and send it by text or email. The customer approves and signs it on their phone, and a quote that sits unanswered gets followed up automatically.

Schedule

Booked, confirmed, reminded

Online booking from your site or a text link, confirmations and reminders that cut no-shows, and a calendar the whole crew can see.

Job

Know where every job stands

A pipeline of job stages shows what's quoted, what's booked and what's waiting on you. Notes, photos and the whole conversation stay on the customer's record.

Payment

Get paid on the spot

Turn the estimate into the invoice, collect a deposit up front, send a text-to-pay link or charge the card on file, and sync it all to QuickBooks Online. The money goes straight to a Stripe account in your business's name.

Review

The review request sends itself

The day the invoice is paid, the customer gets a review request by text. You read and reply to reviews from the same inbox.

Repeat

Past customers come back on their own

Maintenance reminders, seasonal offers and reactivation campaigns go to past customers automatically by text and email, so the next job comes from a list you already have.

What it isn't: a dispatch board, GPS truck tracking, inventory or job costing. If you run field-service software for those, keep it. This becomes the front end that catches and converts the lead, and we connect the two.

Chapter IV — how it works

How we set up your lead system

01

Map Your Flow

We review your market and goals and map a campaign plan around your most profitable services.

We set up your CRM, business number, missed-call text-back, follow-ups, booking, price book, estimates and invoicing, and connect your Stripe account.

03

Chapter V — capture and convert

Capture and convert — even after hours

The leads are already coming in. This is the system that makes sure every one of them turns into a conversation, and as many as possible into booked jobs.

i.

Speed to lead

The first business to respond usually wins the job. We answer every lead in seconds, automatically — long before a competitor picks up.

ii.

Around the clock

Missed-call text-back and an optional AI receptionist capture and qualify leads nights, weekends, and while you're on a job.

iii.

Follow up automatically

Automated sequences and database reactivation keep working every lead — and win back past customers — without you remembering to.

Chapter VII — questions

Lead automation questions, answered

What is missed-call text-back?

When you can’t answer, an automatic text goes to the caller within seconds — “Sorry we missed you, how can we help?” — so the lead starts a conversation with you instead of calling the next company.

Do I need a CRM?

If you’re tracking leads in your head, a notebook, or your texts, you’re losing some. A CRM captures every lead in one place and makes sure each one gets followed up. We set it up and run it for you.

What's the AI receptionist?

It’s an optional 24-7 AI that answers your calls, texts and web chats, qualifies the lead, and books the appointment — so you capture jobs even when you’re on a roof or asleep. You stay in control and can take over anytime. It’s an optional add-on at $147/mo, which covers the receptionist itself; the call minutes it uses are billed at cost like any other call.

Is this my own system, and do I keep access?

Yes. We build it on our own all-in-one lead platform — your CRM, texting, follow-ups, and booking in one place — and connect it to the other tools you use, like your field-service software. You get your own login and keep full access.

Can I send estimates and invoices and take payments through it?

Yes. You build estimates from your own price book, the customer approves and signs on their phone, and the estimate becomes the invoice with one tap. You can take a deposit up front, send a text-to-pay link, charge a card on file, and sync everything to QuickBooks Online. Payments run through a Stripe account in your business’s name.

Does it replace Jobber, Housecall Pro or ServiceTitan?

For a small shop that’s still quoting from a notepad and invoicing from a phone, it can be the whole office: leads, quotes, scheduling, invoices, payments and reviews in one place. It doesn’t do dispatch boards, GPS truck tracking, inventory or job costing, so if you already run field-service software for those, keep it. This system becomes the front end that catches and converts the lead, and we connect the two so the job hands off cleanly.

Who holds the money when a customer pays?

You do. Payments go straight into a Stripe account in your business’s name, never through us. Stripe’s processing fees are charged to you by Stripe at its published rates, like the usage costs below, and we set the account up with you during onboarding.

Is there a mobile app?

Yes, for iPhone and Android. Your inbox, calendar, pipeline, estimates, invoices and payments go with you in the truck, so you can send a quote or take a payment from the driveway.

Is there a setup fee?

Yes — there’s a one-time setup to build your CRM and automations, plus a monthly fee to run and optimize it. It’s $497 to set up and $197/mo after that, month-to-month with no long-term contract. The optional AI receptionist is an extra $147/mo.

Are there any usage costs on top of the monthly fee?

A few — and they go straight to you rather than to us. Your system uses its own phone number to call and text and sends emails on your behalf, and that usage (the number itself, text messages, call minutes, email sends, and the one-time carrier registration that US texting requires) is billed at cost, with no markup, as a small prepaid balance on your own account that tops itself up. For most home-service businesses it’s a small amount each month, and it scales with how much you text, call, and email. We’ll walk you through it during setup so there are no surprises.
